TaxDrop ("we", "us", "our") operates the taxdrop.ca website and WhatsApp-based tax document collection service. We are based in Manitoba, Canada, and are committed to protecting your personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA).

1. Information We Collect

When you use our service, we may collect:

• Contact information: your name, phone number, and WhatsApp profile information
• Tax documents: photos and images of tax slips you send us (T4s, T5s, RRSP receipts, T2202s, etc.)
• Extracted financial data: information our AI extracts from your documents (employer names, income amounts, SIN — only as it appears on submitted slips)
• Communication records: messages exchanged via WhatsApp related to your tax filing

2. How We Use Your Information

We use your personal information to:

• Receive and organize your tax documents
• Extract and structure data from tax slips using AI
• Prepare your tax information for CPA review and filing with the Canada Revenue Agency (CRA)
• Communicate with you about your filing status
• Improve our service quality

3. Third-Party Service Providers

We share your information with the following categories of third parties, solely to provide our service:

• CPA partners: Licensed Canadian accountants who review your tax data and file your return with the CRA
• Anthropic (Claude AI): We use Anthropic's AI technology to extract and organize data from your tax document images. Documents are processed via their API and are subject to Anthropic's privacy policy
• WhatsApp / Meta: Our service operates via WhatsApp's Business Platform, subject to WhatsApp's privacy policy

We do not sell, rent, or trade your personal information to any third party for marketing purposes.

4. Data Storage & Security

• All data is encrypted in transit (TLS) and at rest
• Tax documents and extracted data are stored on secure, access-controlled servers
• Access to your information is limited to authorized personnel and CPA partners directly involved in your filing

5. Data Retention

We retain your tax documents and related financial data for the current tax year plus seven (7) years, as required by CRA record-keeping regulations. After this period, your data is securely deleted.

You may request earlier deletion of your data (see Section 8), though we may be required to retain certain records for regulatory compliance.

6. Consent

By sending us your tax documents via WhatsApp, you consent to the collection, use, and disclosure of your personal information as described in this policy. You may withdraw your consent at any time by contacting us, though this may affect our ability to provide our service to you.

7. Cookies & Analytics

Our website (taxdrop.ca) does not use cookies or third-party analytics trackers.

8. Your Rights Under PIPEDA

You have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Withdraw consent for future collection and use
• Request deletion of your data (subject to regulatory requirements)
